Guidelines for Speakers and Poster Presenters
Climate and Clothing In August, the weather in Santa Cruz can vary tremendously. While the days can be quite warm (70-90° F, 21-32° C), early mornings and evenings can be cool (50-65° F, 10-18° C) and foggy. We strongly recommend bringing a light jacket or heavy sweater and dressing in layers. The natural setting of the campus includes both flat and hilly areas, and we suggest packing a pair of walking shoes. The main meeting room, M110, is air conditioned, but housing and other meeting rooms are not air conditioned. Smoking The State of California has mandated that smoking is not allowed in state-owned buildings and public areas. This policy applies to all individuals on the UCSC campus and includes all residential buildings. Smoking is permitted in designated areas only. Participants may smoke outside but must be at least twenty-five feet from buildings, doorways, windows, and ventilation air intakes. Alcohol Conference alcohol permits allow alcohol consumption for a two-hour maximum period. No alcohol is permitted in public areas on the UCSC campus. Adult conferees may enjoy alcohol in the privacy of their apartments or in specifically designated, enclosed reception areas (with accompanying alcohol permit) only. Insurance Foreign participants are strongly encouraged to take out a traveler’s health insurance policy before arriving in the United States. Visa Please check with the US Embassy in your country for visa requirements. Obtaining a valid passport and visa for entry to the United States is the responsibility of the participant. Please allow adequate time for passport and visa application formalities. Computer Access and Telephone UCSC will provide a guest log-in and password for wireless access at check-in. Each apartment has an ethernet and phone connection in the bedroom and you may request an instrument, at check in, if needed. Please visit http://resnet.ucsc.edu/configinfo/ prior to arrival for computer configuration information if you will need to use ethernet. You may dial local and campus numbers free of charge and long distance numbers with a telephone calling card only. Long distance telephone cards can be purchased on-line. A limited amount of calling cards will be available for purchase in the College Eight office. The McHenry Library, located in the center of campus, also offers free internet access on a limited basis. Our on-campus office at College Eight has free computer access for email. |

Check-in Official check in for the SCDB Meeting will be held on Wednesday, Aug 8, 2012 between 2:00pm and 6:00pm at West Conference Office (College 8, apartment building 2, room #2107, phone 831-502-7000). At check-in all guests sign a housing roster and obtain room keys, meal cards, and parking permits as well as maps and other registration information. There will be a campus car available for those participants housed at the top of College Eight. If you arrive late, the College Eight office will be open until Midnight on day of arrival. If you will be delayed beyond Midnight, please phone the office at 831-502-7000. Guests arriving after Midnight will be stopped upon entering the campus by kiosk attendants and will be directed to their assigned college. A Community Safety Officer (CSO) will meet the guest and let him/her into their assigned apartment. Guests must officially check in at the conference office at 7:00am the next day to sign in and receive meal cards and parking permits. Parking for the SCDB Meeting is in parking lot #162 at the base of College Eight and the parking permits received are for that lot. Check-out Check-out is in the same place as check-in: West Conference Office (in College 8, apartment building 2, room #2107, phone 831-502-7000). All guests are required to individually sign a check-out roster and return keys and meal cards prior to leaving the campus, either at a designated remote site or the Conference Services Office. Keys and meal cards not returned will be charged to the group. Lost keys are charged at $75.00/key; meal cards at $10.00/card. Social Media We encourage use of social media in and around the conference. We request that you adhere to the social media guideline standards set by the AACR for the SCDB meeting.
